Arctic Adventure General Conditions


Booking

Booking can be made by e-mail or telefax. Confirmation or alternative tours will be returned to you no later than 2 working days after your booking has been received. Please check the confirmation sent by us carefully. If there is any deviation from what you have requested - please contact us within 2 working days.

When booking has been confirmed by Arctic Adventure it is binding for the agent/client, who make the booking.

Cancellation

After reservation is confirmed and until 5 weeks prior to departure:

Cancellations received by Arctic Adventure after reservation is confirmed and until 5 weeks prior to departure will be free of charge for the land arrangement. However airfare will be lost when booking is made with Air Greenland (normal fares are still refundable). At all other airlines only a smaller deposit will be lost.

After issuing the travel documents changes and cancellations are charged 50% of the land arrangement + costs of non-refundable flight tickets.

5 - 1 week prior to departure:

Cancellations received by Arctic Adventure between 5 and 1 week prior to departure are charged 50% of the land arrangement + costs of non-refundable flight tickets.

Later than 7 days prior to departure:

Cancellations received by Arctic Adventure later than 1 week prior to departure are charged 100% of the land arrangement + costs of non-refundable flight tickets.

Payment

When we confirm a booking an invoice will be issued.

Arrangements to The Faroe Islands as well as land arrangement in Iceland and Greenland must be paid 8 weeks prior to departure.

Arrangements to Iceland including flights demand a deposit that will only be charged in case of cancellation otherwise booking must be paid 8 weeks prior to departure as above.

Due to new Air Greenland rules payment must be instant for all Air Greenland flights.

Vouchers

Arctic Adventure will issue travel itinerary/ documents when payment has been received.

If you have an agreement regarding later payment, your clients should always bring along a voucher, issued by your company, stating requested services for which you will be responsible.

Liability

Arctic Adventure ApS reserves the right to alter routes, itineraries or time tables if this should be necessary; we stress that the capacity of hotels and transportation in Greenland is limited: This fact sometimes forces us to alter itineraries.

Tours are subject to the conditions of the contractors providing such transportation or services. No responsibility is accepted for losses nor expenses due to delays or changes in flights or other services, injury, sickness, accidents, strikes, damage, negligence, weather, war or other causes. All such losses and expenses are to the personal responsibility of the traveller. Participants should insure privately as they wish.

Important note

Arctic weather conditions and limited capacity in Greenland may cause traffic delays resulting in interruptions, limitations or changes in the itinerary. This may result in extra expenses to cover meals, hotel accommodation and/or transportation not foreseen in the programme. Such expenses have to be paid directly by passengers themselves. The tour operator cannot accept any responsibility, economic or otherwise for such changes.
